studio policies

We’re committed to creating a welcoming and safe environment where every client can enjoy their pilates practice. By purchasing a class, membership, package, private session or attending Pai Pilates, you agree to follow the policies outlined below:

Booking & Payment

Payment is required in full when making a reservation for any class, private session, workshop or private event. All purchases are final. Refunds are not provided. All clients must maintain a valid credit card on file. By booking with Pai Pilates, you authorize the studio to charge the card on file for outstanding balances, late cancellation fees, late fees, no-show fees, retail purchases, gift card purchases or any other charges permitted under these policies.

Class Cancellations

If you need to cancel a class, please do so through your account at least 10 hours before the scheduled class start time. We do not process cancellations in person, via phone, e-mail or social media. Cancellations made less that 10 hours before class will results in the loss of the class credit used for the booking and incur a $25 late cancellation fee.

Missed Classes (No-shows)

If you reserve a class but do not attend and have not cancelled within the required timeframe, your booking will be treated as a no-show. A no-show will result in the class credit being used and a $25 no-show fee.

Waitlist

You can join the waitlist for a class that is full. Clients will automatically be added up to 1 hour before the class start time if space becomes available. You will receive a notification by email. Once you’ve been moved into the class, the standard cancellation and no-show policies apply.

Arriving Late

Please plan to arrive 5 minutes before class begins. For the safety of everyone in the studio, clients arriving more than 5 minutes after the scheduled start time will not be admitted into class. Late arrivals will be treated as a no-show, and the applicable no-show fee and loss of class credit will apply.

Private Sessions

Private sessions require at least 72 hours notice for cancellation or rescheduling. Appointments cancelled with less than 72 hours notice, missed appointments, or arriving 5 minutes late or more will be considered a forfeited session. A $25 administrative fee will apply.

Private Event

Private Event bookings require a minimum of 72 hours notice for cancellation or schedule changes.

If We Need to Cancel a Class

Classes may need to be cancelled due to low registration, instructor illness, weather or circumstances beyond our control. Whenever possible, clients will receive at least 2 hours notice by email. Any calss credit used for the reservation will automatically be returned to your account.

Class Packs

Your class becomes active on the date you first class is booked. Each package expires according to the validity period displayed at the time of purchase.

Memberships

Memberships renew automatically until cancelled. To end your membership, written notice must be sent to info@paipilates.ca at least 30 days before your next renewal. Memberships fees will continue during the required notice period. Clients enrolled in a six month commitment remain responsible for the full membership term. Early cancellation does not cancel the remaining financial commitment unless required by law. Membership levels cannot be upgraded or downgraded while a fixed-term commitment is active. Memberships cannot be paused or frozen.

Pregnancy

The studio may decline participation if we believe a class is not appropriate for your current condition.

Grip Socks

Grip socks are mandatory for every reformer, tower, cadillac class/session. Clients arriving without grip socks will not be able to participate.

Mat Pilates Towel Requirement

To help keep our equipment clean, clients using studio mats during mat pilates classes must place a full size towel over the entire mat. Towels are provided by the studio.

Instructor Changes

Pai Pilates may substitute instructors at any time.

Personal Property

Pai Pilates is not responsible for lost, stolen, or damaged items brought onto the premises.

Respectful Studio Environment

Pai Pilates strived to provide an inclusive and respectful community. Harassment, discrimination, intimidation, aggressive behaviour or conduct that disrupts the experience of other clients or staff will not be tolerated.

Additional Studio Guidelines

Before attending your first class, every client must complete the studio’s digital liability waiver. Participants must be at least 18 years old, unless prior approval has been given by Pai Pilates. Outdoor shoes must remain in the designated entrance area and are not permitted inside the reception area. Please arrive 5 minutes early to check in before class starts.

Health & Safety

Clients are expected to follow all studio safety procedure while on the premises. Pai Pilates follows all applicable health and safety requirements established by federal, provincial and municipal authorites.

Changes to These Policies

Pai Pilates may update these studio policies to reflect operational changes or legal requirements.
